Automatic recurring reports by email

🗓️ Set it up once, it arrives every period

Open the form and go to the "Reports" tab; the "Automatic recurring reports" card sits under "Export". At the time you choose, each scheduled report builds the file on the server and emails the recipients the summary figures (total responses, completed, completion rate, today's and this week's responses) with a link to download the file.

2. 2 Choose the file format "Responses Excel", "Full PDF report" or "Executive summary PDF" — the same files as "Export".
3. 3 Set the repetition: daily, weekly (with a day of the week) or monthly (with a day of the Persian month) If you pick day 31 and the month is shorter, it arrives on that month's last day.
4. 4 Choose the time It is always Tehran time, even if you are outside Iran.
5. 5 Under "Which responses", choose all responses or "This period only" "This period only" means the responses from the day, week or month before each send.
6. 6 Enter the recipients and click "Create" Your own email is already on the list; add colleagues' and managers' addresses with "Add".

📩 The download link in the email

The email doesn't attach the file; it links to a download page that gives only that one file and needs no panel sign-in, so a manager without an account can download it too.

The link is valid for a full day, and the exact moment it ends is written in the email and on the download page. After that the page politely says the link has expired and points to the same form's reports in the panel; the next run brings a fresh file.

⏯️ Pause, test send, edit and delete

The switch next to each report pauses or resumes it. "Send a test now" builds and sends the file right away — by default only to your own email, so you can see what the recipients will get before the first run. It doesn't change the next run.

"Edit" changes everything and "Delete" removes the report; links already emailed keep working until they expire.

🛠️ If the automatic report didn't arrive

Weekly or monthly report emails are sent from Porsino's address; if one didn't reach your or your manager's inbox, check the spam folder and mark the sender as safe.

"Skipped" means no email went out because the plan had ended, or the email went out but the PDF couldn't be built; the reason is written under "Last send". "Failed" means the email reached no recipient or building the file failed; the next run tries again, and "Send a test now" is available too.

If the server restarts in the middle of an automatic send, that run isn't sent again, so no recipient gets a duplicate email; the run is shown as "Failed".

🔐 Plan

Creating a scheduled report, turning it back on and "Send a test now" are available from the "Pro" plan up, and so are the PDF formats. Viewing the list, pausing, editing and deleting are always free.

If the plan ends, runs are marked "Skipped" and no email goes out; once you renew, they continue automatically from the next run.
