Online Leave Request Forms: From Paper to Workflow
Taking a leave form online isn't just replacing paper. If you don't get the approval path and the balance calculation right, it creates more work, not less.
The leave request looks like the simplest administrative form, and it's usually the first thing organizations move online. A few points make the difference between "useful" and "a new headache":
The fields you actually need

Calculate the number of days automatically
The employee shouldn't type the number of days by hand. That both creates errors and leaves room for abuse. Compute it from the date range.
And note that Fridays (the Iranian weekend) and public holidays shouldn't be counted. If you don't have a holiday calendar, at least subtract the Fridays.
Define the approval path in advance
A form that gets submitted and lands in an inbox nobody looks at is worse than paper — because the employee thinks their request has been filed.
The minimum you need:
- The request goes to the direct manager.
- The manager approves or rejects, with the option to write a reason.
- The employee sees the outcome (by SMS or email).
- If more than X days pass with no response, it escalates to the next manager up.
Step 4 is the one that usually gets forgotten, and it's what makes employees lose trust in the system.
Leave balance
If you can show the balance, you've delivered the biggest value to the employee. If your payroll system has an API, read the "balance" field from it.
If you can't, at least state in the form where the balance can be viewed — so the employee doesn't have to ask HR before every request.
Give a tracking code
The employee should be able to see where their request stands without calling HR. A tracking code and a status page eliminate a large volume of calls.
